The challenge

Growth was the
problem.

Every new unit added admin instead of margin. The business could fill facilities faster than its back office could process them, so revenue leaked quietly, in small daily increments nobody had time to chase.

Move-ins happened on paper

Every new tenant meant a printed contract, a manual ledger entry, and a re-keyed record. Errors compounded, and nobody trusted the occupancy numbers.

Billing was chased by hand

Recurring payments were reconciled manually each month. Failed cards went unnoticed for weeks, and staff spent whole days on collection calls.

The phone went unanswered

Storage is a now-or-never purchase, people call ready to rent. Every unanswered evening or weekend call was a unit rented from a competitor instead.

Get the business out of spreadsheets

We started with the ledger, because nothing else can be trusted until occupancy is. A multi-tenant Laravel platform replaced the spreadsheets: every unit, every contract, every tenant in one system with a real audit trail.

Move-ins went online. A prospect could pick a unit, sign, and pay without anyone printing anything.

Phase 02 · Months 3-8

Make the money collect itself

Then we automated the part that was quietly losing the most: recurring billing. Stripe subscriptions took over the monthly cycle, with dunning that retries intelligently and emails tenants before a card expires rather than after it fails.

Failed payments dropped by nearly two thirds, and the collection calls mostly stopped happening at all.

Phase 03 · Month 9 onward

Put an AI receptionist on the phone

The last leak was the one nobody could staff away: calls after hours. We added a Twilio-powered AI receptionist that answers on the first ring, checks live availability, quotes the right unit, takes payment, and writes the move-in straight into the platform.

It now handles more than a third of all bookings, most of them at hours when the office was closed.

Occupancy, revenue, delinquency, and channel mix in one view, so the operator can see which facility is actually performing, not just which one feels busy.

Access & compliance

Gate-code provisioning tied to payment status, full audit trails on every tenant action, and lien-process records that hold up when they're needed.
